Job Description: 

Overview of role

Role: Site Administration & Facilities Coordinator

Hours: 40 p/week (M-F)

Location: Trafford Park, Manchester

Responsibilities: 

  • Documentation Integrity: Maintain accurate, controlled, and auditable documentation to support regulatory compliance and site safety systems.
  • Audit Readiness: Ensure the site is consistently prepared for H&S, BRCGS, and corporate audits through complete and accessible evidence.
  • Zero Harm: Contribute to the site’s "Zero Harm" goal by ensuring high standards of administrative governance and data integrity
    Wheat & Wheatfeed Coordination: Lead the scheduling and booking of weekly wheat deliveries and wheatfeed collections to ensure consistent raw material flow.
  • Weighbridge Operations: Provide daily support to weighbridge functions, ensuring adherence to site procedures and accurate intake/outload recording.
  • Stock Management: Perform routine stock reconciliations and maintain accurate records for off-site storage reporting.
  • KPI Collation: Coordinate the collection of site-wide performance data across all functions to support leadership reviews.
  • Management Accounts: Assist in the production of weekly management accounts and support the investigation of financial variances.
  • Training Support: Assist in coordinating site-wide training requirements to ensure compliance and skill development.
  • Visitor & Contractor Management: Support site entry procedures, including contractor signing-in, inductions, and site visit coordination.
  • Facility Coordination: Oversee the daily site facilities, including vending, catering, and office supplies.
  • Occupational Health: Support the coordination of Occupational Health Surveillance for site personnel.
  • Volume demand reporting

Key Accountabilities

  • Safety Knowledge: Robust understanding of H&S administration, including permits and site safety controls.
  • Administrative Experience: Strong administrative experience within a manufacturing or operations environment.
  • IT Proficiency: Advanced capability in Excel, Outlook, Word, and ERP/SAP systems.
  • Reporting Capability: Competent in data reporting, KPI coordination, and assisting with management accounts.
  • Communication: Strong verbal and written communication skills to effectively interface with subcontractors and site teams
